Rental Remedies GDPR and Privacy Policy

 

At Rental Remedies your privacy is important to us and to be compliant with the new General Data

Protection Regulation coming into force of 25th May 2018 this Policy explains what data we collect from you and how we use it.

 

Rental Remedies are compliant by using a secure and encrypted database for all data held. The

Back office system we use is Juvo.

 

The information we collect allows us to operate effectively to provide you with the best experience searching for a new property. The information we hold on you is as follows;

 

As an applicant we hold;

Your contact details including your full name, email address and phone number.

Your property requirements.

History of any viewings you have had with us.

 

We use the above information to match your requirements to properties that we have available to let or for sale and book in viewings.

If your email address comes back undeliverable or you don’t have a viewing booked in at one of our properties, your details will be deleted.

 

 

As a tenant we hold;

Your contact details including your full name, email address and phone number.

Your property requirements.

History of any viewings you have been on with us.

A history of all payments made by yourself for rent plus deposit and fees when starting the tenancy.

We use the above information to match your requirements to properties that we have available to

let or for sale and book in viewings. Then we keep a history of offers made and accepted on

properties. We also use and keep this data to account for payments of rent, deposit and fees paid by

you.

Rental Remedies communicate with outside companies to perform several tasks during your

tenancy. This includes referencing, credit checks and tenancy agreements with Rent4Sure and Let Alliance, registering your deposit with The DPS, supplying meter readings and informing local authorities of your move in

via email, telephone and Landlord tap and organising works to be completed by contractors, this will be sent either via email, text or phone call. The information will be used to perform their functions and not for any other purpose. Our expectations of outside companies are to use the information and to destroy the data within their own GDPR rules and regulations. Once the data has been sent across, Rental Remedies are no longer responsible for the protection of the data as the transfer of data protection has now moved. When using Rent4Sure or Let Alliance for your referencing and Docusign for the signing of your tenancy agreements the systems are fully encrypted online services, so this protects your data from being unlawfully edited and your information is fully tracked and audited.

After your tenancy has ended then we will keep your information for five years and then delete your

information.

 

 

As a landlord we hold;

Your contact details including your full name, email address, postal address and current contact

numbers including landline and mobile.

A list of your properties including photos, certificates and description for when it comes to marketing

the property.

Your bank details for making payments online.

A copy of all statements and invoices sent.

All payments made by us for your rent

We use property data and photos only to market your property on currently used property portals, these can include Zoopla, primelocation, Rightmove, Bournemouth Rooms and our own website.  We also share your contact details with Docusign as they forward our tenancy agreements for electronic signing. If you are on a let only agreement, then your contact details will be shared with the tenant moving in. We also share your contact details with a company

called Landlord Tap, local Council and Utility companies specific to the property who will inform you of meter readings at the start and termination of each tenancy. Your details are shared with these providers, so they can send you any bills for any days that the property has been vacant.

Once your property has been withdrawn from our system, we will hold your data for five years

before deleting all information.

 

 

As a contractor we hold;

Your contact details including your full name, email address, postal address and current contact

numbers including work landline and mobile.

All communications sent by us including emails, texts and calls.

Your bank details for making payments online

A copy of all invoices and statements

All payments made by us

 

 

Your rights

You have the right to access information held about you and the right to request that information be deleted or corrected (as appropriate). You also have the right to request that your information be transferred to another organisation. You can exercise this right at any time by emailing

enquiries@rentalremedies.co.uk.

 

Rental Remedies are registered with The Information Commissioner’s Office which is UK’s supervisory authority for privacy and data protection matters – for more information visit

A copy of our certificate is within our office.

This information is currently on display in our office, on our website and has been sent to all clients.

Our data controller within our company is Jan Clements.

Rental Remedies are registered agents with the National Landlords Association (NLA), United

Kingdom of Letting Agents (UKALA) and Property Readdress Scheme (PRS)
